Email the documents DocupletionForms generates from a form submission — automatically, through Zapier.
How documents are selected
The number of documents sent — and which ones — is determined by the
conditions configured in DocupletionForms, not in Zapier, because
the documents generated depend on the responses provided on the form submit.
So if an admin wants a Zap to send only one document, they configure the form to
generate only that one — or two, or more.
The advantage. Because selection happens in DocupletionForms,
documents can be generated conditionally based on each end-user's responses.
The workflow
Form submission → DocupletionForms documents → Gmail.
Submit
When a form is submitted, the conditions of both the main configuration and each PDF template are analyzed.
Generate
When a template's conditions are met, a document is generated based on that template.
Send URLs
The URLs of all documents generated by DocupletionForms are sent to Zapier in the File URL field.
Email
Zapier reads the File URL field and checks how it is mapped. If it is mapped to a text field (for example, an email body), the URLs are inserted separated by commas. If it is mapped to a file field (for example, email attachments), the files are downloaded and sent by email.
One submission, multiple documents. Here submission #956 met the
conditions for two templates (IDs 24 and 25), so DocupletionForms generated two
PDFs — ej130.pdf and sc100.pdf — and passed both of their
links in the File URL field to the Zapier step that emails them.
What happens next
Once the Zap is on, every form submission generates its documents in DocupletionForms
and hands their URLs to Zapier, which emails them through Gmail — as links in the
body or as downloaded attachments, depending on how you map the File URL field. No
manual sending, and the right documents go out based on what each end-user submitted.
