How the Integration Works (High Level)
Behind the scenes, the integration uses secure, real-time notifications to tell Zapier when something important
happens in your DocupletionForms account.
- You connect your DocupletionForms account to Zapier using an API key.
- You create a Zap and choose one of the DocupletionForms triggers.
- You select which form, organization, or document the trigger should watch.
- When the event occurs, Zapier receives the data and passes it into your chosen actions.
- If the trigger involves a merged document, the associated file is available to later steps as a file object.
Getting Started in a Few Minutes
1. Prerequisites
- A Zapier account.
- A DocupletionForms account.
- Your DocupletionForms API key (found under User Settings → API in the app).
2. Connect DocupletionForms to Zapier
- In Zapier, go to My Apps.
- Search for DocupletionForms and select it.
- Click Connect (or “Connect a new account”).
- Paste in your DocupletionForms API key when prompted.
- Zapier will test the connection and save it for future Zaps.
3. Create Your First Zap with “New Form Submitted”
- Click Create Zap in Zapier.
- For the trigger app, choose DocupletionForms.
- Select the New Form Submitted trigger event.
- Choose your connected DocupletionForms account.
- Use the dropdown to select which form you want Zapier to monitor (pulled dynamically from your account).
- Click Test trigger to load a recent submission (if available).
- For the action step, choose any app (e.g., Google Sheets, Slack, your CRM) and map your form fields.
- Test the Zap, then turn it on.
4. Create a Zap with “New Merged Document”
- Create a new Zap and set the trigger app to DocupletionForms.
- Choose the New Merged Document trigger event.
- Select your DocupletionForms account.
- Use the dropdown to select the Organization you want to monitor.
- Select the specific Document (a particular merged PDF configuration) to watch.
- Test the trigger to pull in a sample merged document.
- In the action steps, store the file in cloud storage, attach it to a record, or email it to a client.
Working with Merged Documents & Files
When you use the New Merged Document trigger, Zapier receives both metadata about the merged
document and a file object that can be used in later steps.
- Use the file field from the trigger step to upload PDFs into apps like Google Drive, OneDrive, Dropbox, or SharePoint.
- Attach the file to CRM records, tickets, or tasks that support file uploads.
- Include the file as an attachment in email steps sent via Gmail, Outlook, or other email providers.
The integration is designed so that files are only fetched when a Zap step actually needs them, helping optimize
